Safari Guide
Agents Informations
Deposit and Payment:
Upon an agreed itinerary and price, you will be required to pay a deposit of 20% of your total safari quotation in order for us to reserve your holiday. On receiving your deposit and subsequent to a written (email) confirmation from Planet Motors and Safaris, your booking is considered "provisionally confirmed" and subject to the cancellation conditions given below. Payments will be in U.S. dollars, by bank draft wire or electronic transfer.
Cancellation After Booking:
All cancellations must be made in writing (email is faster!). Telephone cancellations will not be considered valid. The date of the cancellation will be the date shown the email was sent, but for posted cancellations, the date of cancellation will be the date the letter is received, not the date it may be postmarked.
Cancellation Charges:
Up to nine weeks before departure:  20% Deposit
Eight weeks before departure: 50% of the safari cost
Six weeks before departure: 65% of the safari cost
Four weeks and below before departure: 100% of the safari cost

Final Payment:
Your final payment is due eight weeks before the safari commences and thereafter the total amount is forfeited in case of cancellation or no show up.

Cancellations Conditions:

No cancellations or notifications of reduced numbers booked are accepted by phone. Only written notifications are considered valid. Written notifications include email (from original e-mail of the correspondent clients).

No cancellations or notifications is considered valid unless reconfirmed cancelled in written form by Planet Safaris.

No-shows are considered cancelled at the date of your first expected arrival.

No refunds shall be given for:
-
lost travel time or necessary substitution of facilities, especially by virtue of force majeure;
Itineraries necessarily amended after departure, especially by virtue of force majeure;
For circumstances beyond The Company's control which necessitate alternative arrangements being made to ensure safety and/or further participation of enjoyment.
If the participant does not appear for any accommodation, service or excursion without first notifying The Company in writing.
If the participant leaves after the safari has commenced.

You may also be responsible for any fees imposed by hotels, airlines etc., that are over and above your land arrangements, due to your cancellation of your original date bookings.
Cancellation by Planet Safaris:
Planet Safaris reserves the right to make changes, where unavoidable, to itineraries, holidays and services both before and after a booking is confirmed due to but not limiting: -
Bad weather
Late payments
Availability of service
Security
Other unavoidable circumstances
Transportation:
The Company reserves the right to employ the services of sub-contractors. No vehicle may be driven by a client participant at any time.
Carnage (by land, sea and air) is subject to the terms and conditions of the carrier and to International Conventions, some of which limit liability. Land, sea and air travel are also subject to operational decisions of carriers and ports, which may result in cancellation, delays or diversions over which Planet Safaris has no control and for which The Company can accept no liability whatsoever.
Accommodation:
Planet safaris reserve the right to substitute accommodations with similar accommodation of the same category and standard.
Changes In Prices:
Rates quoted are correct at the time given and are subject to change without notice. Planet safaris reserve the right to charge surcharges due to unavoidable circumstances beyond our control such as inflation, revised taxation or other fees. Such surcharges will be notified in writing and must be paid within 14 days of notification, making due allowance for normal transmission of funds. Non-payment may be construed as an act of cancellation and subject to the conditions of cancellation.
Liability Of The Company:

Planet safaris act as a booking agent in all matters relating to hotel and lodge Accommodation, tours, airlines/charters, bus companies, ground transportation, boat owners and other independent contracts providing accommodation, transportation and/or other services, each of which is an independent company outside Planet safaris control and each of which has its own terms and conditions. As such, Planet safaris shall not be liable for injury, delays, loss or damage of any kind arising from other independent contacts.

Planet safaris liability to participants carried in our own vehicles is governed by the laws of Tanzania and no other country.

The Company reserves the right to employ subcontracts for all or part of its services; in the event of such right the terms of this clause applies.

Whilst every care is taken, The Company cannot be held responsible for loss or damage to luggage.
Travel Documentation:
You are responsibility for ALL your travel documents and vaccinations, which must be current and correct. Planet Safaris shall not be responsible for any delay, interruption, or cancellation resulting from participant failure in this regard.

Accomodation on Safari
Game Lodges:
Game Lodges in or close to, the National Parks and Game Reserves of Tanzania are built of local raw materials to blend harmoniously with their surroundings. They vary from simple bandas with a local style to luxury hotels in the wild. Rooms are comfortable with one twin or two single beds and private bath or shower en suite. Common facilities include lounges, dining room and bar, but most of them have swimming pools and some overlook floodlit waterholes for nocturnal game viewing. In warm and dry places, the dining room and bar areas are situated on wide, open verandas, whilst at higher and cooler altitudes lodges are glassed in and many have log fires in the evenings.
Tented Camps:
To have an impression of being close to Africa, in true safari style, we recommend a few nights stay under canvas in the African bush. Tented Safari Camps offer a surprisingly high, even luxurious, standard of comfort and personal service. Spacious insect proofed tents are provided with twin beds, private bath or shower and flush toilet. Full dining and bar facilities are in central tents or in attractive open buildings. A feature of most Safari Camps is the welcoming campfire, out in the open, under the African starlit sky.

Campsites: These are similar to the Tented camps in that accommodation is in canvas tents. The campsite only offers camping grounds, Tap, Bathrooms and sometimes a cooking area, the rest, with the help of our highly experienced drivers and guides, clients are able to set up in a few minutes. The guide in our camping safaris is usually a qualified chef, so all their meals are well prepared throughout the safari. Planet safaris will provide all the camping equipment.

Rooms: Check out time is 10.00 hours a.m., and rooms are normally not available until after noon. If early arrival is anticipated rooms should be reserved from the preceding night. Day rooms, which are normally charged at 75%, are only available until 18.00 hrs. (6 p.m.) after which the full overnight charge must be paid.

Meals, Food and Drinks:
In general the food in Tanzania, is simple and palatable. Food is fresh and locally produced, including fish, seafood and exotic tropical fruits. Curries are a traditional feature on Sundays. For clients with special dietary requirements, arrangements can be made if advised prior to arrival, but should bring their own supplies when visiting Tanzania. Drink selections are good, including premium brands and imported wines. Tap water in urban centers is often potable, but water for drinking is generally provided in flaks when on safari. Clients are advised to drink only this or mineral water which is readily available.

Safari Costs

Accommodation:
First class, or deluxe, game lodges, tented safari camps and country houses based on shared occupancy of twin bedded rooms with bath/shower.

Meals:
Full board (breakfast, lunch and dinner) each day, except in main cities, where the meal plan is specified in the tour outline.
Collection/Transfer:
All tours start and end with collection from and return to any centrally located hotel in main cities. Where air transportation is part of the itinerary, transfer service between city centre hotels and airports is included. If an out of town hotel transfer is required, a supplement shall be charged.
Guides:
Services of qualified and caring English speaking driver/guides, some of whom speak other languages.
Taxes and fees:
All Government taxes, hotel levies and service charges. Entrance fees to parks and Reserves. Entrance fees to museums when specified.

Tour Cost Does Not Include: Porterage, tips to game rangers or local guides; incidental tips to hotel/lodge, bar and waiting staff; gratuity to driver/guide; personal items such as laundry and drinks; transfers on arrival and departure; airport departure tax , visa fees.
